Can I move in the morning of the show? PDF Print E-mail
Should you have a special circumstance, you must contact EPI for permission to move in on the morning of the event.  Those hand-carrying (50lbs or less) will be the only approved exhibitors.  Approved exhibitors must have their booth completely set-up by 9am Saturday morning.  Should an exhibitor arrive on Saturday morning needing EPI’s material handling service but failed to get a pre-approved appointment from EPI, they will be assessed a $150 late move-in fee.
 
How do I find out my booth number? PDF Print E-mail

Once you have returned your signed Reservation Requestion form and you have been accepted, our sales staff will send you an email with your booth number, the price of your booth and an Exhibit Acceptance Contract to sign and return.

How tall can my booth be? PDF Print E-mail
All materials in your booth must not exceed 8ft in height.  The side rails are only 3ft tall.  If you have materials in your booth that exceed 3ft, please keep these materials in the back 4ft of your booth (along your backwall) so that you are not blocking visibility to the booth next to you.
 
May my listing appear in more than one category? PDF Print E-mail
You may only appear in more than one category with the prior consent of the Exhibit Sales Staff.  They will contact the site administrator who will add you to the additional category.
 
How do I register for a login account on the website? PDF Print E-mail
  1. Register and Confirm : Register as user on the Green Festivals website.  You will be sent an email with a confirmation link.  Click this to confirm your registration.
  2. Login: Once confirmed, login with the "Exhibitor & Partner Login" box at top in the exhibitor section.
 
When will my registration confirmation email arrive? PDF Print E-mail

Registration confirmations take from 1 to 10 minutes. 

If you do not receive your registration confirmation in 10 minutes, two things may have occurred:

  • Your bulk email box if you have not yet received your password, as it is an auto-generated email.
  • You may not have entered the correct email address.  (Yes, typos do happen.  Contact the administrator and she will help to correct this)
 
Can I leave early / move out early on Sunday? PDF Print E-mail
No.  Breakdown prior to the end of the event is not permitted for any reason.  If you are not able to stay during the entire length of the event, we suggest that you recruit volunteers or hire other folks to work the booth for the remaining hours.
 
How can I edit my listing information? PDF Print E-mail
Follow the instructions in the Add to Directory menu link to log in, then click on the link "Manage My Listings.  Click on the Edit icon (it looks like this edit_button.jpg) to the right of your listing to change any listing that you have created.
 
How many characters can be used in our description of products and/or services? PDF Print E-mail
Due to layout limitations in the printed event guide, there is a 64 character limit on the event guide description.  Please be sure to fill out this critical field on the Submit Listing form.
 
Can I leave my booth unattended during the event? PDF Print E-mail
We highly suggest that you avoid this.  It looks extremely unprofessional and you will potentially miss the attention of your next best customer.  If you are working your booth alone and need a quick break for restroom or to grab a snack, ask a neighbor to keep an eye on your booth.
 
Why am I unable to upload my logo to my listing? PDF Print E-mail
Image Uploading tips
  • 2MBs is our size limit for uploading images.  Resize your image and try uploading it again. Our system will automatically resize your image to less than 200 pixels wide at 72dpi, so uploading a larger image will look no different on the page than a smaller image.
  • Images need to be .jpg or .gif files.  Check your file type and convert it to one of these and try again.
 
What if I’ve forgotten my Password? PDF Print E-mail
Just click on the "Lost Password" link to the right of the login area above.  A new one will be sent to you.
 
Why am I not in the event guide? How do I get into the event guide? PDF Print E-mail
You must add your listing information online at Green Festivals.  This will enable you to access your downloads, enter your organization’s listing for event guide, upload your logo recognition on the Green Festival website and enter your organization’s seven word description.  Ask your sales representative if you are having difficulties.
 
Why can't I add my listing? PDF Print E-mail
You need to log in to our system before you can add your listings.
 
What if I've forgotten my Username? PDF Print E-mail
Contact the site administrator using the email address that you registered your account under.  She will assist you in finding your username.
 
Where is my listing? I can't find it! PDF Print E-mail
Your listing is currently pending approval, and will be published in the next 24 hours when it has been approved.
 
Are my products going to be secure? Can I leave it over night? What is the security like? PDF Print E-mail
Green Festival provides 24 hour security; however, you are responsible for your belongings.  We recommend taking precautions like covering your booth with a sheet when you leave each evening and hiding valuables.  Please see the security section of this kit for more information.
 
Why can't I see any files when I click on the Booked Exhibitors folder? PDF Print E-mail
You need to log in first before you can view and download these files.
 
Why is my info not on the website? How do I get my info on the website? PDF Print E-mail

Will I have to re-enter all the information for each city I exhibit in? PDF Print E-mail
At this time you currently do need to enter in a new listing for each festival that you are participating in.  We are working on a re-launch of our site, however, which will enable you to have your listing posted in multiple cities.
 
What is the difference between the event guide and onsite directory? PDF Print E-mail
The event guide serves as a marketing tool and is distributed one month prior to the event.  The event guide contains information about the speakers and programming, partners & exhibitors and activities.  The onsite directory is a much smaller publication that acts as a map and onsite guide for the event.
 
How long will this listing be available to be seen and edited? PDF Print E-mail
Listings created on this site will be available for up to 1 calendar year, depending on how early in the lead-up to the event you submit them.
 
How much does the show cost for attendees? PDF Print E-mail
Typically, $15.00 for adults and half price for bike valet, students & senior citizens.  Children under 12 are admitted free.  Once pricing is finalized for this event, it will be posted to the Green Festival website at least one month prior to the event.
 
How is the event guide distributed? How many are printed? PDF Print E-mail
100,000 Green Festival Event Magazines will be published and distributed one month before each event.  75,000 Event Magazines will be direct-mailed locally in the each locale to highly targeted recipients.  25,000 Event Magazines will be distributed throughout each region at appropriate sites.  The Green Festival Event Guide will be a keepsake, containing all the information about every Green Festival event, partner, speaker, exhibitor and activity
 
I am interested in exhibiting for other Green Festival cities, what should I do? PDF Print E-mail

If I am an exhibitor this year, will you hold my same space for next year? PDF Print E-mail
No.  We change the floorplan each year to keep the event interesting.  No two Green Festivals are identical so you will never have the same experience twice.  Therefore, it is not possible for us to fulfill this request.
 
Can I sell product at the show? Can I sample product? PDF Print E-mail
Absolutely!  Let your sales representative know your intent and which products you would like to sell or sample.  You must provide both a Business License number for the city in which the event takes place as well as a state Business License number.  Sampling requires strict compliance paperwork contained in the Food Vendor and Samplers Kit.  Please download this kit from the Exhibitor Downloads section of the Green Festival website.  If you need assistance, please call 888-553-3020
 
What kind of advertising do you do? PDF Print E-mail
Our media partners have included leading popular radio, and national print media such as Natural Home, Organic Style, Alternative Medicine, BODY & SOUL, Common Ground, Grist, LinkTV, Lime Media, Veg News, YES!, Utne Magazine, E Magazine, Yoga, Air America, and Mother Jones Magazine.  Our mass media campaign makes over 30 million impressions annually.  We do broad-based local and national media and advertising to attract people to the Green Festival – including mailing invitations with program guides featuring our speakers to over 100,000 households in the target city.  Our national advertising helps bring attention to the efforts of the host cities.
 
I know several people who would love to volunteer for the event, where should I send them? PDF Print E-mail
Thank you!  Our volunteers are the core of our event!  Please send them to the volunteer section of the Green Festival website.  Once there, they can view all available shifts and register online.  www.greenfestivals.org/volunteer
 
I am interested in speaking at Green Festival, who should I contact? PDF Print E-mail
On the Green Festival website, go to the Program page.  Then, click on Apply to Present.  Here you will enter your information and one of our programming directors will contact you.

 
Do I need to send a list of my guests? PDF Print E-mail
Each exhibitor will receive twenty (20) complimentary Green Festival one-day passes for their guests.  There is no need to submit a list of your guests.  We have automated and simplified the process.  Please direct your guests to Exhibitor Registration. 
 
Do you have any tips on how I can save money? PDF Print E-mail
Plan ahead and order early!  Make note of deadlines for discount pricing.  This alone will save you from unnecessary expenses. 
 
Can I ship my materials through UPS, FedEx or DHL? PDF Print E-mail
Yes, but keep in mind that FedEx and DHL will not pick up on Sundays!  UPS Freight will be onsite to handle your shipping needs.  It may be more economical for you to take these boxes to your hotel after the event for a Monday pickup.  This will vary on a case by case basis. Plan ahead and research.
